Subscriptions Overview

Your Subscriptions can be found in the Bookings tab of your Pitchbooking Manager and this section will provide a clear and up-to-date summary of all current, future, and expired customer subscriptions. These tools help you manage weekly revenue, track subscription statuses, and take action where needed.


Overview of the Dashboard

At the top of the screen, you'll find key subscription metrics, which update depending on your selection of current, future and expired. This includes:

  • Weekly Revenue (£)
    Displays the total weekly revenue.

  • Total Subscriptions
    Shows the number of subscriptions

  • Total Confirmed (Automatic)
    Indicates the number of confirmed Stripe-based Automatic Subscriptions.

  • Total Inactive (Automatic)
    Tracks Automatic Subscriptions that are not yet confirmed by the customer.

  • Total Invoice/Pay on Arrival
    The number of offline payments, either made in person or through a payment link.


Navigating the Subscriptions Table

The table allows you to view:

  • Current Subscriptions

  • Future Subscriptions

  • Expired Subscriptions

Each subscription entry includes:

  • Name – Subscription name. When creating the subscription you will get the opportunity to name it.

  • Facility – The venue or room booked

  • User – Account holder

  • Amount – Weekly subscription price

  • Validity – Start and end dates

  • Day/Time – When the booking recurs

  • Status – Payment method or confirmation state.

  • Actions – Edit or manage the subscription allowing you to alter the name and when it is valid until.

Use the search bar to quickly find a specific subscription or use column sorting to organise data by facility, amount, or date.


Understanding Statuses

Invoice / Pay on Arrival

These subscriptions are managed manually. Payment is collected either:

  • In person when the customer arrives, or

  • Online via a payment link

Stripe Subscriptions (Automatic)

Automatic Subscriptions are processed through Stripe and require user confirmation by card.

  • Green boxPayment Confirmed
    The subscription is active and the first payment is confirmed.

  • Pink boxAwaiting Payment Confirmation
    The user has not confirmed the subscription by entering card details.

    • Unconfirmed subscriptions have an arrow which can be selected to resend the subscription email.


Creating a New Subscription

Click the ‘New Subscription’ button at the top of the screen to manually add a subscription. Steps can be followed here


Best Practices

  • Regularly check the Inactive (Automatic) count to ensure users are confirming their subscriptions.

  • Click the hyperlinked subscription name to view full details on the subscription, add exclusions and notes.

  • Monitor your Weekly Revenue to track performance over time.
