Creating a Subscription
Subscriptions allow customers to reserve recurring bookings. This guide outlines the five-step process for creating a subscription, including selecting users, facilities, and setting duration, pricing, and payment preferences.
Step 1: Select User
Navigate to the BOOKINGS tab in the menu panel.
Click SUBSCRIPTIONS, then NEW SUBSCRIPTION.
Choose the user:
If the customer has previously made a booking, select them from the Existing User dropdown.
If the customer is new, select New User and enter their details. They will receive an email prompting them to sign up and complete the booking.
Click Next at the bottom right of the screen.
Step 2: Select Facility & Slot
Select the facility from the dropdown list.
If applicable, choose a sub-facility.
Use the time picker to select an available slot:
Use the arrows to move through weeks or click the date to choose a specific day.
Available slots are white with a blue border. Click to select; the slot will turn blue.
Click again to deselect.
Important:
The date you select is when the subscription begins.
For Automatic Subscriptions, the user is not charged until this date.
For Invoice/Pay on Arrival Subscriptions, when invoicing you will select the date the payment is due.
Click Next to continue.
Step 3: Set Subscription Duration
Choose how long the subscription should run:
Indefinitely
Runs continuously until cancelled or deleted. Ideal for long-term, rolling block bookings.Set End Date
Choose a specific date for the subscription to end. Suitable for seasonal bookings (e.g. September to May).Set Number of Weeks
Define a set number of weeks. Useful for fixed programmes or limited schedules.
You’ll be able to exclude specific dates in the next step.
Click Next.
Step 4: Conflicts
Pitchbooking will check for any scheduling conflicts with existing bookings.
If there is no conflict:
The Next button will be green – proceed to Step 5.
If there is a conflict:
You cannot continue until resolved. You have two options:
Exclude the conflicting date(s) by ticking the box.
The new subscription will skip those dates.
Remove or move the existing booking in the Daily Calendar.
Return to this screen to proceed.
For pitch splits (e.g. half a pitch), select the required number of pitch units (e.g. 2 quarters).
Click Next when ready.
Step 5: Pricing, Payment & Confirmation
Enter a Subscription Title to help your team identify the booking.
Set the Price per Week.
Tick the box to include Tax, or leave it unticked to exclude it.
Select the Payment Method:
Automatic stripe subscriptions
Sends an email asking the customer to enter their card details.
Once confirmed, their subscription will have a green border.
The card will be automatically be charged each week on the day of the subscription.
Invoice/Pay on Arrival
Sends an email confirmation.
You can create an invoice later via the Invoices tab if needed.
Click CONFIRM BOOKING at the bottom right of the screen to complete the process.
Note:
Subscriptions can only be created for one day at a time. This approach helps ensure that any exclusions, cancellations, or refunds apply only to that specific date.
We recommend creating individual subscriptions for each day, regardless of the customer.
