Managing Exclusions

Overview

Exclusions are used to pause both subscription payments and booking availability for specific dates and times. This allows you to maintain active subscriptions while freeing up slots for other users. This is ideal for when a subscriber won’t be using their slot due to holidays, fixture changes, or other known absences.

When to Use Exclusions

Use Exclusions when:

  • You know in advance that a subscription slot won't be needed.

  • You want to avoid losing the slot permanently but want it temporarily available for others.

  • You need to pause subscription payments for specific dates.

Key Points About Exclusions

Once an exclusion is added to a subscription:

  • The slot becomes available for public booking on pitchbooking.com.

  • If someone books the excluded slot, it cannot be cancelled or overwritten via the dashboard (to prevent double bookings).

  • Exclusions can be added at the time of creating a subscription or at any point afterward.

  • You can apply exclusions to single or multiple dates.

Subscription Type Impact

  • Automatic Subscriptions: Payments are paused for the excluded dates.

  • Invoice/Pay on Arrival Subscriptions: Excluded dates will not be billable or available for invoice inclusion.


How to Add an Exclusion

  1. Go to BOOKINGS in the left-hand panel.

  2. Click SUBSCRIPTIONS.

  3. Locate the subscription:

    • Use the search bar (top right) or scroll through the list.

  4. Click the subscription name (highlighted in blue) to open its details.

  5. Click the ADD EXCLUSION button.

In the Add Exclusion Pop-Up:

  1. The days of the active subscription will appear in white in the calendar.

  2. Use the arrows to navigate between weeks.

  3. Click on the date(s) to exclude:

    • Selected dates appear highlighted in the calendar in Orange

  4. To remove a date, click on the date again.

  5. Click the green SAVE button once you've selected all dates.

The excluded dates will now appear in the subscription's exclusion list.
