How to set up a priority access

Edited

Priority Access allows you to restrict booking slots to specific users or teams via a Membership Group. It's an effective alternative to Subscriptions, giving users more control over their own bookings while ensuring exclusive access to designated timeslots.

Steps to Create Priority Access

  1. Create the relevant Membership Group it will apply to.

  2. Go to the Manager Dashboard
Navigate to Users > Priority Access and click New Priority Access.

  3. Select the Facility
Choose the facility or facilities this Priority Access will apply to.

  4. Name the Priority Access
Give it a clear, descriptive name (e.g. Senior Team Training or Community Football Access).

  5. Set the Timing
Choose when the Priority Access should apply:

    • One Time – Applies from the first selected slot to the last selected slot.

    • Every Day – Applies daily within the selected date range.

    • Every Week – Applies weekly on the selected day and time.

    • Always – Continuous access; best for long-term approval or rolling access.

  6. Set Dates and Times
Input your start and end date/time. This defines when users can access the slots.

  7. Add Exclusions (Optional)
Use exclusions to block out specific dates or times within the period defined.

  8. Choose Restriction Type
Select Membership as the restriction type.

  9. Assign to Membership Group
Pick the relevant Membership Group from the dropdown list. Only members of this group will have access.

  10. Activate the Rule
Toggle Live Now? if you want it to take effect immediately.

  11. Click Create
Once all fields are complete, click Create to save the Priority Access rule.
