Manually Adding a booking

While it is recommended that customers make their own bookings online, there may be occasions where you need to create a booking manually.

Steps to Add a Manual Booking

To begin, click the NEW BOOKING button from either the BOOKINGS or DAILY CALENDAR tab in your dashboard.

Step 1 – Select User

Choose the user the booking is for:

  • If the user has previously booked via Pitchbooking, select them from the Existing User dropdown.

  • For new customers, select New User and enter their details (an email will be sent to the customer to claim their account)

Step 2 – Select Facility & Slot

From the dropdown menu, choose the facility the booking is for. A calendar will display that week’s availability.

  • Use the blue arrows to navigate between weeks.

  • Click the displayed date to choose a specific date in the future.

Step 3 – Basket

Review the booking details. You can add optional amenities (e.g., changing rooms, floodlights) at this stage.

  • Click Add to include any additional features offered by the facility.

  • You can also edit the price of a booking at this stage.

Step 4 – Add Payment Status & Additional Notes

Select the payment status from the following options:

  • Paid – Bank Transfer

  • Paid – Cash

  • Paid – Card (Other)

  • Paid – Other

  • Not charged

  • Unpaid (default for pending payments; can be updated later or invoiced)

You may also add Booking Notes and choose whether to include them in the confirmation email.

Once all details are confirmed, click Confirm Booking to finalise and save the booking to the system.
