Managing the Events View

The Events section of your dashboard allows you to manage and monitor all your events in a list format. You can easily switch between Open, Closed and All events using the buttons at the top of the screen.


Understanding Open vs Closed Events

  • Open Events:
    These are currently active and available for booking (if live on the site).

  • Closed Events:
    These have passed their closing date or have expired.

From this view, you can check whether an event is live or private and make edits to the overall event listing.


To Edit an Event

  • Single Event:
    Click the Edit/Pencil icon on the right-hand side.

  • Multiple Occurrence Event:
    Click the Event Name to view the list of occurrences, then click the Edit/Pencil icon next to the specific occurrence you wish to edit.


To View Booking Data

  • Single Event:
    Click the Event Name to view current bookings.

  • Multiple Occurrence Event:
    Click the Event Name, then select an individual occurrence from the list to view its booking data.

This will take you to a new screen showing three icons:

  • Total number of attendees

  • Current percentage of capacity filled

  • Total Revenue


Viewing Attendee Information

As bookings are made, attendees will appear in the Attendee Column.
If there was a form required you will be able to Click the Form icon next to a name to view the required details. As standard the Attendee information will show:

  • Attendee details (name, email address, etc.)

  • Time booked

  • If a booking modifier/add on was applied

  • Status

  • Check in/Out

    • This function can be useful for confirming attendance on the day of an event.

  • Who made the booking (shown in the Booked By column)

    • This is particularly useful for events involving children, as it shows parent or guardian details alongside the attendee.


Exporting Attendee Data

Once an event has closed and you have a confirmed attendee list:

  1. Click the download icon at the top right of the attendee table.

  2. This downloads a CSV spreadsheet containing all submitted form data.

You can use this file to:

  • Print attendee lists for the event day

  • Make external edits outside of Pitchbooking
