Creating a Single Occurrence Event
The Events feature in Pitchbooking allows you to create and manage both one-off and recurring events. This guide outlines how to create a single occurrence event — ideal for activities like one-day training sessions, drop-in classes, or standalone community events.
Note: Access to the Events feature must be enabled on your account. Please contact your Account Manager if you do not currently see the Events tab in your dashboard.
Steps to Create a Single Occurrence Event
1. Navigate to the Events Tab
Go to your Pitchbooking Manager Dashboard.
Select the Events tab.
Click on the Create Event button
2. Enter Event Details
Fill in the basic information for your event:
Name – Give your event a clear, recognisable title.
Description – Briefly explain what the event is about.
3. Set Up a Single Event
Do not toggle the switch labelled “More than one occurrence or location for this event?”
This ensures the event is treated as a single occurrence.
4. Configure Capacity & Pricing
Maximum Capacity – Set how many attendees can register. This can be changed later if needed.
Price per Booking – Set the booking fee. If you require complex pricing options, contact your Account Manager for assistance.
5. Choose Event Location Type
Specify how the event will be delivered:
Will this event be held on site? – Enable this if the event takes place at one of your own facilities. You will be able to select the relevant site and facility. This will reflect on your calendar and book the facility.
Will this event be held online? – Enable this if the event will be conducted virtually.
6. Schedule the Event
Event Date – Enter a single date (same for start and end).
Start & End Time – Specify when the event begins and ends.
Close Date – Choose the last date you want to accept bookings.
7. Add additional information (Optional)
Additional Email Instructions – Enter details that will appear in the attendee’s confirmation email, such as parking info, entry instructions, or required documents.
Cost Code - Create a unique cost code for the Event.
8. Enable Participant Form (Optional)
Configure the final set of options before submitting the event:
Is this event Tax Exempt? – Toggle on if tax should not be applied to bookings.
Visible on Partner Page? – Enable to make the event public on your Pitchbooking Partner Page.
Event is open for bookings? – Enable this to allow users to begin registering.
Create a bespoke form to collect participant data? – Toggle on to build a custom form to capture attendee details (e.g. age, emergency contact, etc.).
Final Step: Go Live
Once all information is entered:
Review your settings.
Click ‘submit’ to complete the event and start taking bookings.
