Invoice/Pay on Arrival Subscriptions
Invoice/Pay on Arrival Subscriptions allow you to set up recurring weekly bookings without requiring upfront online payment. These are ideal for organisations or customers who prefer to pay via invoice or in person at the facility.
Overview
Similar to Automatic Subscriptions, this option creates a recurring block booking. However, instead of requesting card payment, the customer receives an email confirming their subscription. No further action is required on their part.
There is no automatic payment collection linked to this subscription type. You can either:
Issue an invoice (for online or bank transfer payments), or
Choose Pay on Arrival, allowing the customer to pay in person each week.
Who Is This Suitable For?
This payment method is particularly useful for:
Organisations or clubs that do not use cards (e.g. schools, councils)
Traditional institutions with centralised payment processes
Customers who prefer to avoid weekly card payments
How It Works
The customer submits their booking information.
You create the Invoice/Pay on Arrival Subscription in Pitchbooking.
The customer receives a confirmation email with the subscription details.
No further action is needed from the customer at this stage.
You choose the payment method Invoice/Pay on Arrival
Payment Methods
1. Invoices
When you create an invoice:
An email is sent to the customer with payment details.
The customer can pay via:
Online checkout using a secure ‘Pay Now’ link.
Bank transfer, using the account details provided on the invoice PDF. If you would like your bank details to appear on the invoice this must be added manually.
Note:
You must manually update the invoice status in Pitchbooking from Unpaid to Paid once payment is received when made via bank transfer.
2. Pay on Arrival
If the customer is paying in person:
No invoice is required.
You must manually record the payment on Pitchbooking for each unpaid booking to maintain accurate records.
