Restrict Online Bookings to Pre-Approved Customers

To ensure only pre-approved customers can access online bookings, follow the steps below to set up a controlled access system using membership groups and priority access settings.

Step-by-Step Setup

  1. Communicate the Pre-Approval Requirement
    Add a notice to either the Facility Description or use the Company Alert Message to inform customers that pre-approval is required for bookings.
    Include details such as:

    • What information users must provide (e.g. membership ID, completed forms)

    • Where they should send it (e.g. email address or contact form link)
      This could include club rules, registration documents, or other conditions.

  2. Create a Membership Group
    Navigate to CUSTOMERS > MEMBERSHIPS and create a group named something like Pre-Approved Users.

  3. Enable Group Requests via Partner Page (Optional)
    You can make this membership group visible on your partner page, allowing users to:

    • Request to join the group (to be reviewed and approved by an admin), or

    • Join directly if no manual approval is needed.
      Configure this based on your organisation’s vetting requirements.

  4. Set Priority Access Rules
    Go to the Priority Access settings and assign booking privileges to the pre-approved group:

    • For unrestricted booking access, set the time range to Always.

    • For limited access (e.g. specific times or slots), define the appropriate time windows accordingly.
