Setting Smart Lock Access Times with Offset On and Offset Off

Edited

Pitchbooking allows you to control when customers can use their smart lock access codes in relation to their booking times.

Using Offset On and Offset Off, you can give customers additional time to access your facilities before or after their booking without changing the actual booking duration.

For example, you might want customers to access a changing room 15 minutes before their booking starts or allow them to re-enter through a gate for a short period after their booking finishes.

This guide explains how these settings work and how to configure them.

Understanding Offset On and Offset Off

There are two settings available to adjust when customers can use their smart lock access codes.

Offset On – When Access Begins

This setting determines when a customer's access code becomes active in relation to their booking start time.

  • Positive (+): Allows customers to use their access code before their booking starts.

  • Negative (-): Delays when the access code becomes active until after their booking starts.

  • 0 Minutes: No additional offset is applied to the booking start time.

Offset Off – When Access Ends

This setting determines when a customer's access code expires in relation to their booking end time.

  • Positive (+): Allows customers to continue using their access code after their booking finishes.

  • Negative (-): Makes the access code expire before their booking finishes.

  • 0 Minutes: No additional offset is applied to the booking end time.

Please Note: Offset Off does not prevent customers from leaving the venue after their access code expires. Where customers can exit freely without entering a code, they can leave at any time. The setting simply determines how long their code remains valid for accessing the facility.

Both settings default to 0 minutes, meaning no additional access time is applied.

Example – Allowing Additional Access Time

Let's say a customer has booked your 3G pitch from 6:00pm to 7:00pm.

You'd like them to be able to enter 15 minutes before their booking and continue using their access code for 15 minutes after their booking finishes.

You would configure your settings as follows:

Setting

Value

Booking Start

6:00pm

Booking End

7:00pm

Offset On

+15 minutes

Offset Off

+15 minutes

With these settings, the intended access window would be:

  • Access Code Active From: 5:45pm

  • Access Code Expires At: 7:15pm

This means the customer can use their access code to enter the facility from 5:45pm until 7:15pm.

After 7:15pm, the code will no longer provide access. However, customers already inside can still leave normally, provided the exit does not require a code.

Please Note: These settings do not change the customer's booking time. In this example, the pitch remains booked from 6:00pm to 7:00pm. The additional time only applies to the access code.

How to Change Your Smart Lock Access Times

Follow the steps below to configure the access window for your Codelocks device.

Step 1 – Open Lock Control

Log in to your Pitchbooking Manager Dashboard and go to Company Settings > Lock Control.

This will open the Smart Lock Configuration page, where your existing devices are displayed.

Step 2 – Edit Your Device

Find the lock you'd like to configure and click Edit Device.

This will open the settings for your selected lock.

Step 3 – Set Your Access Times

Locate the following fields:

  • +/- Offset On (minutes)

  • +/- Offset Off (minutes)

Enter your preferred values in whole minutes.

For example, entering +15 in both fields requests an access window beginning 15 minutes before the booking and ending 15 minutes after it.

Make sure the values reflect when customers should be able to use their access codes to enter your facilities.

Step 4 – Save and Test Your Settings

Save your changes and test the configuration using a suitable booking.

Check that an access code is provided as expected and test it at the physical lock.

We recommend checking:

  • That the code becomes active at the intended time.

  • That the code continues to work during the booking.

  • That the code expires at the intended time.

  • That customers can exit the venue safely without requiring a valid access code, where free exit is part of the venue's setup.

Complete these checks before relying on the settings for live customer bookings.

Important Information

The exact timing of access codes can depend on your Codelocks device and its configuration.

Although Pitchbooking allows you to set access offsets in minutes, this does not guarantee that every lock will apply those changes at the exact minute requested.

If access begins or ends at an unexpected time, contact Pitchbooking Support or your Account Manager to review the configuration before relying on the codes.

Remember: Offset On and Offset Off control when an access code can be used to enter a facility. They do not physically switch the lock on or off, change the booking duration or determine when customers must leave the venue.

If you need assistance configuring your access times, please contact your Account Manager.
