Controlling What a Promo Code Applies To

Edited

Promo Codes can be made available across all eligible bookings or restricted to particular facilities, events, products, customers, dates and times. These settings allow you to control exactly what customers can receive a discount on.

Choosing the Discount Scope

The Discount Scope determines how the Promo Code affects a basket containing more than one eligible item.

Choose from:

  • One booking in the basket: The discount is applied to one eligible booking item.

  • All eligible items in the basket: The configured discount is applied across all eligible items in the basket.

Any items that do not meet the Promo Code rules will remain at their normal price.

Restricting Booking Dates and Times

When creating or editing a Promo Code, use the booking-date settings to control which booking dates and times are eligible.

Choose from:

  • Apply to all booking dates and facilities: Use this option if the promotion should apply without booking-date restrictions.

  • Continuous: Apply the Promo Code to bookings within one continuous date and time range.

  • Daily: Apply the Promo Code during selected times each day within a specified date range.

  • Every Week: Apply the Promo Code on selected weekdays and times within a specified date range.

  • Always: Apply the Promo Code to all booking dates and times.

Note: The Promo Code validity period controls when customers can enter and use the code. The booking-date settings control when the booking itself can take place. Both sets of rules must be met for the Promo Code to apply.

Selecting Facilities

You can restrict a Promo Code so that it only applies to bookings for selected facilities or sub-facilities.

To select facilities:

  1. Go to Finance > Promo Codes.

  2. Open the Promo Code you want to update.

  3. Select Apply to selected Facilities.

  4. Tick the facilities or sub-facilities that should be eligible.

  5. Click Save.

Once facilities have been selected, the Promo Code will only discount eligible bookings associated with those facilities.

Selecting Events

You can also restrict a Promo Code to particular events.

To select events:

  1. Open the Promo Code you want to update.

  2. Select Apply to selected Events.

  3. Choose the events that should be eligible.

  4. Click Save.

Customers can then use the Promo Code against eligible bookings for the selected events when booking through the customer checkout.

Selecting Products and Add-ons

Products and add-ons can be selected separately to control whether they are eligible for a discount.

To select products or add-ons:

  1. Open the Promo Code you want to update.

  2. Select Add Products.

  3. Choose the products or add-ons that should be eligible for the discount.

  4. Click Save.

Note: Selecting a facility does not automatically make every product or add-on associated with the booking eligible for a discount. If a product or add-on should receive the discount, add it to the Promo Code separately.

Restricting the Code to Particular Customers

You can restrict a Promo Code so that only selected customers can use it.

To select customers:

  1. Open the Promo Code you want to update.

  2. Select Apply to selected Users.

  3. Search for and select the required customers.

  4. Save your changes.

The selected customers will appear under Restricted To Users on the Promo Code page.

Customers who are not included in this list will not be eligible to use the restricted Promo Code.

Tip: Before making a Promo Code available to customers, test it using the same combination of facilities, packages, events, products or add-ons that customers will use. This helps confirm that the discount is being applied to the intended items.
