Creating and Configuring a Promo Code
Promo Codes allow you to offer fixed or percentage discounts on eligible bookings and purchases. You can control the discount amount, when the code is available, how often it can be used, and which bookings it applies to.
Accessing Promo Codes
To create a new Promo Code:
Go to the Manager Dashboard.
Open Finance.
Select Promo Codes.
Click the green New Promo Code button.
If Promo Codes is not displayed, the feature may not be enabled for your organisation. Contact your Account Manager or email support@pitchbooking.com for assistance.
Step 1 – Enter the Promo Code Details
Complete the Promo Code Details section:
Code: Enter the code customers will use at checkout. Use letters and numbers without spaces or special characters.
Status: Select Pending if the code is not ready to use, or Active to make it available once all other conditions are met.
Description: Add a short internal description explaining the purpose of the promotion.
Each Promo Code must be unique within your organisation.
Step 2 – Set the Discount
Under Discount Details, configure how the discount should be applied:
Discount Type: Select Fixed to deduct a specific monetary amount, or Percentage to apply a percentage reduction.
Discount Scope: Choose One booking in the basket or All eligible items in the basket.
Discount Value: Enter the amount or percentage to be deducted.
You can also configure the following optional rules:
Minimum Booking Value: Set the minimum eligible value required before the Promo Code can be used.
Maximum Value: Set the maximum monetary discount that can be applied when using a percentage discount.
Minimum Amount of Bookings: Set the minimum number of eligible booking items that must be in the basket.
Step 3 – Set the Usage Limit
Use the Usage field to control how often the Promo Code can be used:
Unlimited: The code can be used without an overall limit while it remains active and eligible.
Limited: Set a maximum number of uses across all customers.
Single Use: The code can only be used once in total.
Limited Per User: Set the maximum number of times each customer can use the code.
New Customer Only: Restrict the code to customers who have not previously made a booking with your organisation.
Enter a Usage Limit where required.
Step 4 – Set the Validity Period
The Validity Period controls when customers can use the Promo Code.
Set Promo Code is valid from if the promotion should begin on a specific date.
Set Promo Code is valid to if the promotion should stop accepting new uses after a specific date.
Leave both fields blank if the Promo Code should remain available indefinitely.
Note: The validity period controls when customers can enter and use the Promo Code. It does not determine the dates of the bookings that can receive the discount. Booking-date restrictions are configured separately.
Step 5 – Choose the Booking Dates
Configure which booking dates and times are eligible for the Promo Code.
Turn on Apply to all booking dates and facilities if the Promo Code should apply without booking-date restrictions.
If the promotion should only apply to particular dates or times, select the appropriate booking-date option and complete the required fields:
Continuous: Apply the Promo Code to bookings within one continuous date and time range.
Daily: Apply the Promo Code during selected times each day within a specified date range.
Every Week: Apply the Promo Code on selected weekdays and times within a specified date range.
Always: Apply the Promo Code to all booking dates and times.
Once you have completed the configuration, click Confirm to create the Promo Code.
